- Agree the must-get moments. Keynote, awards, the handshake, the room reveal — name them in advance so nothing’s missed.
- Get the run-of-show. Timings, speaker order, and where the important things actually happen.
- Sort access and power. Stage access, a clear spot for the camera with a sightline, and somewhere to plug in.
- Decide on sound early. A clean feed from the AV desk beats a mic on a stand every time.
