  • Agree the must-get moments. Keynote, awards, the handshake, the room reveal — name them in advance so nothing’s missed.
  • Get the run-of-show. Timings, speaker order, and where the important things actually happen.
  • Sort access and power. Stage access, a clear spot for the camera with a sightline, and somewhere to plug in.
  • Decide on sound early. A clean feed from the AV desk beats a mic on a stand every time.
  • Brief one contact. One person who knows the schedule and can point me at what matters as the day unfolds.
  • A secure base for the gear. A staffed room or a key the crew can hold — with power and internet — so kit stays safe between sessions and footage backs up as we go.
